1. Data We Process
Account Data: Contact information, corporate billing details, and user credentials provided during onboarding.
Customer Support Data: Inbound emails, messaging histories, and ticketing metadata routed through our Service.
Knowledge Base Data: Operating manuals, internal documentation, and historical logs uploaded to train the AI First-Responder.
2. Multi-Tenant Data Isolation
We enforce strict multi-tenancy software isolation. Your customer data, internal documentation, and interaction logs are logically separated from all other tenants using advanced database access controls. Your data remains uniquely yours.
3. Artificial Intelligence Data Usage
Zero Public LLM Training: We do not use your proprietary knowledge bases, client communications, or support tickets to train public or foundational AI models.
Isolated Vector Databases: Your knowledge base data is stored inside isolated vector spaces dedicated strictly to your tenant environment.
4. Data Sovereignty & Encryption
Data is encrypted both in transit and at rest. For Enterprise and Ultimate tiers, Customer-Managed Encryption Keys (CMEK) allow your organization to retain full control over data accessibility keys.
5. Data Deletion and Retention
Upon account termination or expiration, data enters an Isolated Grace Period. On Day 31 post-termination, all tenant databases, document configurations, and communication logs are permanently, securely, and irreversibly deprovisioned from our cloud servers.

These Terms of Service govern the use of the Triage AI platform ("Service") provided by Ri Software Solutions ("Company"). By accessing or using the Service, your organization ("Client") agrees to be legally bound by these Terms.
1. Service Provision & Account Roles
License Grant: Company grants Client a non-exclusive, non-transferable right to access and use the Service according to their selected subscription tier.
Role-Based Command: Client is responsible for managing its designated Admins, Managers, and Agents, and maintaining strict confidentiality over internal login credentials.
2. Intellectual Property & Data Ownership
Client Ownership: Client retains 100% ownership, intellectual property rights, and control over all customer support data, training manuals, and company information uploaded to the platform.
Platform Ownership: Company retains all rights, title, and interest in the Service architecture, code, user interface designs, and core AI First-Responder proprietary algorithms.
3. Subscription Commitments & Billing
Month-to-Month: Renewable monthly. Cancellations apply to the subsequent billing cycle. Setup fees are strictly non-refundable (except as provided under the Day 11 Guarantee).
Annual Upfront Tracks: Annual tiers bypass all upfront setup fees in exchange for a long-term commitment. Should your organization request early termination, your upfront lump sum is partially refundable. The refund is calculated by retroactively billing your active months at our standard, non-discounted Month-to-Month rate, plus a standard one-month early termination penalty. The remainder of your upfront balance is then returned to you.
Co-Development / Lifetime Licenses: Due to the immediate allocation of dedicated engineering hours and multi-tenant infrastructure locking, Co-Dev partnerships and lifetime licenses are strictly binding and 100% non-refundable. The tenant environment remains active for the duration of the agreed lifetime access term.
Alpha Partners: Alpha tracks secure a lifetime 30% discount on standard monthly rates and bypass all initial setup fees. This tier requires a strictly non-refundable 3-month upfront commitment. Following the initial 90-day deployment window, the account transitions to a flexible month-to-month subscription that maintains the 30% discount for the lifetime of the active account. No mandatory marketing requirements or ROI reports are enforced.
3a. Payments & Merchant of Record
Online checkout for Triage subscriptions and Co-Development licenses is processed by Lemon Squeezy, which acts as the merchant of record for card payments, sales tax, and VAT where applicable. Your receipt will show Lemon Squeezy as the seller of record. Ri Software Solutions remains the provider of the Service.
3b. Day 11 Satisfaction Guarantee
Applies exclusively to Month-to-Month (M2M) subscriptions. If the custom branding injection and core AI data training do not meet your exact operational standards by the official day 11 handover, your onboarding setup fee is refundable—minus a non-refundable Surgical Resource Fee covering the baseline multi-tenant engineering and cloud infrastructure costs incurred during your dedicated deployment sprint.
4. Supplemental Billing: Add-Ons & Pay-As-You-Go
AI Action PAYG (Auto-Recharge): When a tenant exhausts their monthly AI Action allotment, accounts enrolled in Premium Continuity will be automatically charged at $25 per 1,000 additional AI Actions. Unused top-up actions roll over to the subsequent billing cycle.
Standard Mode Fallback: If PAYG auto-recharge is disabled, the AI First-Responder pauses upon limit exhaustion. The platform degrades to Standard Mode — keyword matching and direct human routing only — until the monthly counter resets. No additional charges are incurred.
Seat Expansion: Additional seats may be provisioned at fixed monthly rates: Agent $15/mo, Manager $25/mo, Admin $40/mo per user.
Contact Database Upgrades: Active contact capacity may be expanded at $10/mo per 1,000 additional contacts past the suite threshold.
5. Fair Use & Rate Governing
"Unlimited AI Actions" features are subject to our Fair Use Policy. Non-standard API behavior — automated spamming, programmatic server overloading, or unauthorized script injection — will result in immediate automated rate-limiting or account isolation.
6. Service Level Guarantees & Beta Infrastructure
Client acknowledges that custom engineering implementations deployed during Alpha or Co-Development sprints are actively optimized. Standard security frameworks are guaranteed; occasional service adjustments may be scheduled during non-peak hours.
7. Account Termination & Data Lifecycle
Upon expiration or cancellation, the tenant environment enters an Isolated Grace Period. Admins retain read-only access and can export all data in JSON/CSV format for 30 days. On Day 31 post-termination, all data is permanently and irreversibly deleted.
8. Governing Law
These Terms are governed by the laws of the Republic of the Philippines. Legal disputes shall be filed exclusively in the relevant courts of Pangasinan, Philippines.
9. Modifications
Company reserves the right to modify these Terms. Client will be notified of major changes 30 days prior to enforcement.
